Overview

This Privacy Policy explains how VantageIQ Technologies, LLC ("we," "us") collects, uses, and protects information through the VantageIQ Faith platform (the "Service"). It applies to church and ministry customers ("Customer," "you") and, where noted, to the individuals whose information your organization enters (staff, volunteers, contractors, children, guardians, and guests).

1. Information We Collect

• Account and billing information — name, email address, role, organization, and campus assignment. Payments are handled by our payment processor; we receive order and subscription status, not full card numbers. • Organization information — ministry and campus names, addresses, contact details, and notes. • Personnel and volunteer records — names, titles, roles, contact details, skills, certifications, training records, equipment and key assignments, and profile photos you add. • Background check information — screening status, provider name, and relevant dates. We store the status and metadata of background checks; we do not conduct background checks ourselves. • Volunteer authorization records — authorization status, permit or qualification numbers, and dates you choose to record. • Child and guest check-in data — children's names, guardian names and phone numbers, room, service time, pickup security codes, allergy or special-needs notes a guardian provides, check-in/out times, and guest contact details and follow-up notes. • Safety and incident data — security assessment answers and photos, incident reports, evidence, daily reports, activity logs, and emergency plans. • Schedules and communications — shifts, drills, training sessions, and team messages. • Usage data — basic analytics events (such as which features are used), log data, and device/browser information, collected to operate and improve the Service.

2. How We Use Information

We use information to provide and maintain the Service; manage accounts, roles, and permissions; schedule people, drills, and training and send related notifications; generate reports and readiness assessments; process payments and enforce plan limits; monitor weather and news for your campuses; provide customer support; secure and improve the platform; and comply with legal obligations.

We do not sell personal information, and we do not use your organization's data to train AI models.

3. AI Features

When you use the Nehemiah Safety Assistant, your question, recent conversation, and relevant excerpts of your organization's active emergency plans are sent to a third-party AI model provider through our platform to generate a response. AI features are also used to summarize public news and weather information. We do not send child check-in or background check records to AI features. 4. Third-Party Services

The Service relies on the following providers, each of which processes data under its own terms:

• Base44 (a Wix company) — application hosting, database, file storage, email delivery, analytics, and AI integrations. • Base44 Payments (powered by Wix) — subscription payments. • Google Calendar and Google Contacts — only if you connect them, to sync schedules and help invite team members. You can disconnect at any time from Integrations. • AI model providers — to generate Safety Assistant answers and news and weather summaries. • Weather data providers — current conditions and severe-weather alerts for your campus locations.

5. How We Share Information

• Within your organization — data is visible to other users in your organization based on their role and campus assignment. • With service providers — the providers above, bound by confidentiality and data protection obligations. • For legal reasons — to law enforcement or regulators when required by law, or to protect the safety of people or property. • Business transfers — to a successor in a merger, acquisition, or sale of assets, with notice to you. • With your consent — in any other case.

We never sell personal information or share it for advertising.

6. Data Security

We use reasonable technical and organizational measures to protect Customer Data, including encrypted connections (TLS), role-based access controls, campus-level data separation, and secure storage of integration credentials. No system is perfectly secure. Use strong, unique passwords and report suspected unauthorized access to us promptly.

7. Data Retention and Deletion

We keep Customer Data while your account is active. An account administrator may delete the account at any time from Account & Billing, which removes your organization's records; export anything you need first. When a subscription ends, Customer Data remains available for export for 30 days and is then deleted from active systems within 90 days, except where we must keep limited data to meet legal obligations, resolve disputes, or prevent abuse.

8. Children's Information

The Service is used by adult ministry leaders, staff, and volunteers. It lets churches record limited information about children (such as name, guardian contact, room, allergy notes, and check-in times) solely to support the church's own check-in and child-safety workflows. This information is entered and controlled by the church, not collected by us directly from children.

Churches are responsible for giving parents and guardians appropriate notice and obtaining any consent required by applicable law before entering a child's information. A parent or guardian who wants to review or delete a child's information should contact the church; we will assist the church with those requests.

9. Your Rights

Depending on where you live, you may have rights to access, correct, export, or delete personal information, to object to or restrict certain processing, and to withdraw consent for connected integrations. Church and ministry customers can contact us to exercise these rights. Individuals whose information was entered by a church should contact that church directly, as the church controls that data; we will help the church respond.

10. Cookies and Local Storage

We use essential cookies and browser storage to keep you signed in and remember preferences such as your selected campus, and basic analytics to understand feature usage. We do not use advertising cookies. See our Cookie Policy for details.

11. International Users

The Service is operated from the United States, and information may be processed in the United States and other countries where our providers operate. By using the Service from outside the U.S., you consent to that transfer and processing.

12. Changes to This Policy

We will post material changes here and notify account administrators by email at least 14 days before they take effect. The effective date at the top of this page reflects the latest revision.
